Client onboarding

Let's get your system set up.

This is everything we need from you to build out your phone, texting, and follow-up automation. Most of it you already know off the top of your head — it should take about 10 minutes.

Answers save automatically as you type, so you can close this and come back to it later on the same device. When you're done, hit submit at the bottom and it comes straight to us.

A note on what we'll never ask for. No Social Security number, no passwords, no card or bank details — not here, not anywhere. If any question in this form seems to be asking for one of those, stop and call us.
Section 1

About you & your business

The basics — who you are and how we reach you while we're building.

The name customers know you by.

Owner, manager, agent, whatever fits.

Somewhere you'll actually see our messages.

Your own line — not necessarily the number customers call.

Storefront, office, or the address your business is registered at. If you work out of your car or your house, that's completely fine — just tell us what's on file.

Leave blank if you don't have one. It's not required for any of this to work.

Instagram, Facebook, TikTok — optional, but it helps us match how you already talk to customers.

Section 2

Business registration

US phone carriers require every business that sends automated texts to be registered before those texts are allowed through. Without this, messages get blocked before they ever reach anyone — so this is the one section we can't skip.

Exactly as it appears on your registration or tax paperwork. This is sometimes different from the name above — if you're registered under your own name, put that.

How you're set up

If you're not sure, pick "Not sure" — we'll figure it out together.

This is the number carriers check to confirm you're a real business. If you don't have one, leave this blank — it's free, takes about five minutes on the IRS website, and we'll walk you through it. You do not need to be an LLC or a corporation to get one.

Never put a Social Security number here. If you're a sole proprietor without an EIN, we'll get you an EIN instead — that's exactly what they're for.

Plain language is perfect.

Section 3

How customers reach you now

This tells us how to fit the new system around what you already have, instead of disrupting it.

That number is…

This matters more than it sounds — it changes what we can safely do with it.

Who answers it today?
Where is that number published?

Check everything that applies. We need to know what would need updating if the number ever changes.

How do new customers usually first reach out?
Roughly how many new inquiries a month?

A ballpark is fine. This sets the right messaging tier with the carriers.

Section 4

Your hours

The system answers differently during business hours than after them — so these need to be your real hours, not whatever's listed online.

Weekly hours

Write them however makes sense — "9am", "by appointment", whatever's true. Tick Closed for days you're off.

Anything recurring we should build around.

When someone contacts you after hours, what should happen?
Section 5

Appointments & scheduling

Only matters if people book time with you. If you're walk-in or retail, skip straight past this one.

Skip if you don't take appointments
Do you book appointments or consultations?
What calendar do you use?

We connect to this so nothing gets double-booked, and so anything booked for you shows up on your phone automatically.

One per line, with a rough length.

Travel, cleanup, prep, a breather — so we don't book you back-to-back with no room.

If it's just you, say so.

Section 6

How you talk to customers

This is the section that actually teaches the system how to answer people. The more real detail you put here, the more it sounds like you and the less it sounds like a robot. Worth slowing down for.

Your actual services or products, in your own words.

Give us five or so, with your usual answer. Hours, pricing, parking, do you take walk-ins, how fast can you get there, do you handle X — whatever you find yourself repeating.

When someone asks about pricing, what should happen?

Only fill this in if you picked the first option above.

This one saves headaches later. Promises you don't want made, topics to stay off, competitors not to mention, discounts not to offer.

Whatever you'd say if a customer asked you straight up why they should pick you.

Section 7

Branding & credentials

Polish, mostly. None of this stops anything from working — it just makes what goes out look like it came from a real business instead of a template.

All optional
Do you have a logo?

Got the file handy? Attach it here and you're done with it.

Do you have a headshot or photo of the business?

If you do, send us the actual image file along with your answers. We can't pull photos off your Google listing or your socials — it has to come from you. A clear phone photo is completely fine.

Attach it here if you have it on the device you're using.

Goes at the bottom of emails so they read like they're from a person. Completely optional. If you've already got one written somewhere, paste it here. If not, leave it blank — we'll write one for you from your answers above and send it over for your approval before anything goes out.

Only if you're in a licensed trade — real estate, contracting, cosmetology, insurance, medical, legal, and so on. A lot of states require this to appear on marketing, and your licensing board or broker can confirm exactly what's needed. Leave blank if it doesn't apply to you.

Optional. If there are particular ones you're proud of and want us to lead with, paste them here. Otherwise leave it blank — we'll pull from your Google reviews ourselves.

Section 8

Last things

Two questions, then you're done.

Missed calls, leads going cold, too much time on the phone, no-shows — whatever's actually costing you. This is what we'll measure against.

That's everything.

Hit submit and it comes straight to us. If you left anything blank, no problem — we'll follow up on whatever's still missing.
